Privacy and Personal Data Policy and Charter (GDPR)
When using our Services, the Client is required to provide personal information (first name, last name, postal address, email, telephone number, etc.).
Personal Data refers to information that allows for the direct or indirect identification of a natural person and may be collected during the use of our Services.
We process the personal data of our Clients and their End Customers in compliance with the General Data Protection Regulation (GDPR) 2016/679 of April 27, 2016. The personal data we collect is limited to what is necessary for the provision of the Services. We never request "sensitive" data, such as political or religious opinions, or racial or ethnic origins.
This Policy outlines how data is collected and details how it is used. This Policy and the General Terms and Conditions of Use (GTCU) form an indivisible whole.
PERSONAL DATA COLLECTED AND PURPOSE
The personal data collected varies depending on how the services are used. The personal data collected or held is provided directly by the Client, obtained from third parties, or collected based on activity on the website and the use of the services.
We collect personal data in the following situations:
The collection of your personal data is necessary to enable KHIPLACE to respond to your requests and to allow you to use the Services.
On the Site, KHIPLACE provides contact forms, among other things, to receive your requests for information and quotes, subscriptions to the KHIPLACE solution, customer account creation, and registrations for events organized by KHIPLACE.
KHIPLACE also offers access to the Services via the Site or the mobile application.
Mandatory fields are marked with an asterisk. If you fail to do so, KHIPLACE will be unable to process your request.
You agree to provide KHIPLACE with accurate and up-to-date Personal Data. KHIPLACE shall not be held liable for any failure to comply with this obligation. Furthermore, KHIPLACE reserves the right to hold you liable for any damages that may result from such failure.

Requests for information and quotes
KHIPLACE provides forms on the Site allowing you to submit requests for information and quote requests.
You must provide the following Personal Data: your first name, last name, email address, telephone number, company name, and your message to KHIPLACE. Once the form is submitted, you will receive an email confirming receipt of your request.
You may also send requests for information to KHIPLACE via email at the following address: contact@khiplace.com. Once your email is sent, you will receive an email confirming receipt of your request.
Service subscription form
You may subscribe to the Services via one of the available subscription plans. To do so, you must provide your first name, last name, postal address, email address, company name, and job title/position.
Registration for events organized by KHIPLACE
KHIPLACE provides a registration form on the Site for events it organizes.
To register, you must provide your last name, first name, company name, job title, and email address, and then submit the form.
You will then receive an email confirming receipt of your request.
Your registration will only be confirmed upon receipt of a confirmation email from KHIPLACE. PURPOSE
Based on your free and express consent, your Personal Data is processed to:
Verify your identity,
Process your requests for information,
Process your requests for quotes,
Process your subscription sign-up,
Process your event registrations,
Enable you to create your customer account,
Enable you to access the Services,
Process requests to exercise your rights, in accordance with Article 4 of the Personal Data Policy,
Perform contracts binding you to KHIPLACE,
Comply with any legal or regulatory obligations, such as combating tax fraud and money laundering.
Payment
When using the Services, the Client is required to provide billing details (IBAN) in order to make payments.
To this end, KHIPLACE uses third-party service providers who may collect Personal Data to facilitate payments via SEPA direct debit; the Client accepts this.
Information regarding these payments is retained by KHIPLACE or by the third-party service provider for internal billing, accounting, and legal compliance needs.
Browsing
When the Client logs into their Account or browses the Site, we collect personal data regarding the login date, time, session duration, IP or MAC address, and pages viewed.
To do this, we use Cookies—files that store browsing information—as specified in Article 18 of this document.
These enable us to analyze the Client’s behavior and expectations, particularly in order to improve the Service.
It is possible to refuse the use of Cookies, but doing so may prevent access to certain features or Services.
COOKIES
We use cookie technology to improve browsing and the experience of Site Users. When the Site is visited, these cookies may be stored on the browsers of the device being used, regardless of the terminal (computer, tablet, smartphone).
They are used, among other things, for identification purposes and to analyze traffic and usage of Site elements. Visitors may decide to accept or refuse the use of cookies and modify their preferences at any time.
Cookies have a validity period that varies depending on the type of cookie and allows the visitor to be recognized during future visits to the website. In any event, this period does not exceed 13 months.

PERSONAL DATA RETENTION PERIOD
Personal Data is retained for use for the purposes listed in this Policy.
Unless otherwise indicated in the preceding paragraphs, data is retained for as long as the data subject maintains a contractual relationship with us and holds an Account.
In the event of the termination of the contract binding the data subject or the closure of the Account—such as upon the completion of the requested Service—and provided there is no other reason to continue processing, the information will be retained for the periods necessary to comply with applicable regulations and statutes of limitation (including contractual, accounting, and tax requirements) or, where applicable, to handle any claims or requests relating to the Services provided.
Customer Personal Data is retained for the duration of the contractual relationship plus three years for customer engagement and prospecting purposes, without prejudice to retention obligations or statutes of limitation. For the purposes of preventing money laundering and terrorist financing, data is retained for five years following the termination of the relationship with KHIPLACE.
SHARING OF PERSONAL DATA
When you use our services, we may engage third-party service providers (for electronic signatures, payment processing, legal notices, hosting, or data analysis); the Client acknowledges and accepts this.
Unless the Client has directly agreed to a specific privacy policy with a third-party provider, said provider is committed to using personal data solely for the performance of the Service.
KHIPLACE is not liable for the manner in which such third-party providers process personal data.
KHIPLACE will never share your personal data—or that of the End Client—with a third party for marketing or commercial purposes without first obtaining your consent.
However, the Client expressly authorizes KHIPLACE to share certain personal information to other KHIPLACE clients strictly for the proper functioning of the selected Services.
We may also be required to share the personal information we receive with third parties if mandated by law or by a judicial or administrative authority, or to defend our company's interests.
RIGHTS REGARDING PERSONAL DATA
The Client has the right to:
access their personal data;
correct any errors in the records;
have their personal data erased, restrict its processing, or object to it;
withdraw their consent;
object to receiving commercial solicitation materials in the future;
define general and specific directives regarding how the rights mentioned above are to be exercised after their death.
Any person has the right to lodge a complaint with the CNIL.
